College Fest & Annual Day Planning Guide for Delhi NCR Campuses

Priya Sharma · Senior Event Manager·

College fests and annual days across Noida, Gurgaon and Delhi NCR campuses are some of the most logistically demanding events we run — large open grounds, a student committee instead of a single decision-maker, and a tight academic-calendar date that can't move. Here's how we approach them.

Multi-day fest versus single annual day

A multi-day cultural fest (competitions, pro-nights, flea stalls) needs a fundamentally different budget and crew plan than a single-evening annual day with a cultural program and prize distribution — the fest needs sustained day-to-day logistics support and bigger stage/sound rigs for a headline night, while an annual day needs one evening executed flawlessly. Knowing which one you're actually planning before you start costing it saves weeks of back-and-forth.

Sound and stage for outdoor campus grounds

Open campus grounds swallow sound very differently from an indoor auditorium — line-array speaker coverage and wind-safe rigging for the stage backdrop matter more here than they would at an indoor venue. For a pro-night with a live band or DJ, we always walk the ground first to check power load access and crowd barricading before quoting.

Working with a student organizing committee

Student committees rotate every year and rarely have institutional memory of what worked last time, which is exactly where things go wrong — vendors double-booked, budgets agreed verbally and never confirmed in writing. We insist on one written scope document signed off by the committee and the faculty coordinator before any vendor is locked, regardless of how informal the rest of the planning feels.

Budgeting realistically for a college fest

College fest budgets vary enormously by scale — a department-level annual day with a few hundred students costs a fraction of a university-wide multi-day fest with an outside artist performance. Tell us your expected footfall and whether you're planning one evening or multiple days, and we'll give you a realistic range before you present a budget to your faculty advisor.

The fests that run smoothly aren't the ones with the biggest budget — they're the ones where one person signed off on the plan before fifty people started executing it.
